Master's Dissertation Submission for Examination

Before You Begin

Prior to submitting your dissertation for examination, ensure that:

  • You are currently registered.
  • Your supervisor has reviewed the final draft.
  • Your dissertation complies with faculty and university regulations.
  • All required ethical approvals have been obtained and documented.
  • Your dissertation has undergone similarity checking in accordance with University requirements.

All submissions are made electronically through PeopleSoft Student Self-Service. Hard-copy submissions are not required.

Approximately 4 to 6 weeks before dissertation submission, students must formally notify the Faculty of their intention to submit for examination. This allows sufficient time for examiners to be appointed.

Required Documents

Upload the following documents:

  1. Notice of Intention to Submit Form FHSPG2 - Intention to Submit.pdf
  2. Dissertation Abstract
  3. Intellectual Property (IP) Assessment Form FHSPG2 - Intention to Submit.pdf
  4. Declarations and Submission Form FHSPG1 - Declaration and Submission form.pdf

 

The IP Assessment Form is mandatory for Health Sciences students.

  1. Log into PeopleSoft Student Self-Service.
  2. Navigate to the Dissertation/Thesis Submission section.
  3. Create an "Intention to Submit" service request.
  4. Upload the required documents.
  5. Submit the request. Students should monitor PeopleSoft regularly to ensure the request has been processed.

Once the Intention to Submit has been approved and consultation with your supervisor confirms that the dissertation is ready for examination, you may proceed with the formal dissertation submission.

 

Documents Required

Upload the following Mandatory Documents:

  1. Dissertation in PDF format
  2. Signed Declaration of Originality
  3. Turnitin Similarity Report
  4. AI Usage Declaration
  5. Ethics Approval Letter
  6. Abstract

 

Dissertation Formatting:  The dissertation should include:

  • Title page
  • Abstract
  • Table of contents
  • Main body of the dissertation
  • References
  • Appendices (if applicable)
  • Signed declaration

 

All documents must be submitted in PDF format.

  1. Log into PeopleSoft.
  2. Create an "Upload Dissertation for Examination" service request.
  3. Upload all required documentation.
  4. Verify that all files are complete and legible.
  5. Submit the request. No late or incomplete submissions will be accepted for examination processing.

 

What Happens After Submission?

Once submitted:

  1. The Faculty Office will conduct an administrative review.
  2. Examiners will receive the dissertation.
  3. The examination process will proceed in accordance with University regulations.
  4. Students will be notified once examination reports and outcomes have been received. Students should note that examination timelines vary depending on examiner availability and report submission dates.

 

Possible Examination Outcomes:  

Following examination, one of several outcomes may be recommended, including:

Outcome 1: Pass

The dissertation is accepted with no corrections required.

Outcome 2: Pass Subject to Minor Corrections.

Students will be required to address minor corrections identified by the examiners.

Outcome 3: Revise and Resubmit.

The dissertation must be revised and resubmitted for re-examination in accordance with University regulations.

Outcome 4: Fail

The dissertation does not meet the required standard. Final outcomes are approved through the Faculty examination process in accordance with University regulations.

Submit the Following

  1. Corrected dissertation
  2. Updated Abstract
  3. Supervisor confirmation that corrections have been completed
  4. Correction summary or response document (where requested). The Faculty Office will provide specific instructions based on the examination outcome. Students must submit corrected documents within the timeframe communicated by the Faculty.

 

Final Library Submission

Following approval of corrections and confirmation that degree requirements have been met, students will be required to submit the final approved version of their dissertation to the University Library via the electronic submission process. Information regarding naming conventions and library submission requirements will be provided by the Faculty Office following examination approval.

  • All communication regarding examination will be sent to your UCT email address. Ensure that your personal and contact details on PeopleSoft are up to date.
  • Submit your Intention to Submit at least 4 to 6 weeks before your planned submission date.
  • Consult your supervisor before every stage of the submission process.
  • Use only the latest forms available from the Faculty website.
